The Albert and Shirley Small Special Collections Library at the University of Virginia seeks a user-focused and collaborative archivist to lead and manage the team dedicated to processing archival collections. Reporting to the Head of Technical Services for Special Collections, the Archival Processing and DiscoverySupervisor plays a primary role in designing and managing a user-centered, access-driven, and reparative-focused approach to processing archival collections across a wide range of collecting areas. The successful candidate provides leadership in the creation of policies, procedures and workflows, and in standards compliance for archival description and implements successful strategies to support these activities.

This positionleads, manages, and oversees the accessioning and processing of all archival special materials as well as the management of multiple full-time staff members. They will oversee limited term positions as needed for special projects as well as student workers, interns, and volunteers. The person in this role will be a crucial part of Technical Services’ reparative strategic plan which includes creating and enhancing descriptive metadata and updating offensive language in all finding aids; creating a backlog inventory that prioritizes work created by and documenting marginalized groups; and implementing a new digital collections processing workflow.
Working closely and collaboratively with all members of the Special Collections and Preservation department, as well as our colleagues across grounds, the Archival Processing and Discovery Supervisor has additional duties that include but are not limited to:
Supervision of Special Collections Archives Staff and Processing Workflows
Supervises multiple full-time archivists, project staff, and student workers.
Coordinates, plans, and prioritizes appraisal, accessioning, processing, arrangement, and description of archival materials in all formats in consultation with the relevant Special Collections staff.
Supervises the preparation of finding aids to provide access to the collections in accordance with relevant national and international standards.
Participates in inventory control and maintains accession records.
Acts as liaison for ArchivesSpace management across grounds.
Physical Collections Management
In coordination with the Stacks Manager, assists in the management of storage for the collections, including the inventory and arrangement of materials within and outside the library collections spaces.
Coordinates and assists in prioritizing the preservation, conservation, and security needs of the collections in consultation with the Head of Technical Services, curators, the University Archivist, the Stacks Manager, and other members of staff.
Communicates with Preservation staff regarding the coordination of conservation work for special collections materials.
Professional Contributions & Development
Participates in local consortia and regional and national associations.
Maintains professional associations through organizations at the regional, national and/or international level.
Continually acquires new knowledge and updates skills to enhance professional performance in all areas of responsibility.
Keeps abreast of developments, trends, and issues in the library field.
Monitors trends and maintains currency in areas of archives, rare books, manuscripts, fine arts, and other areas related to the position.
An ALA-accredited Master’s degree in Library or Information Science. A Master’s degree in related field with archival studies courses will be considered.
Minimum 5-7 years’ full-time experience in an archival repository or special collections library including minimum 3 years’ successful management and supervisory experience of full-time staff.
A deep understanding of the descriptive standards for archival and manuscript materials such as DACS and EAD as well as experience with ArchivesSpace.
A proven track record of successful complex archival processing projects demonstrating the ability to think strategically about the care and description of diverse special collections materials, and to steward them from initial ingest to preparation for digitization.
Demonstrated planning, decision making, and problem-solving skills with superior verbal and written communication skills.
Demonstrated and articulated commitment to reparative work in all aspects of this position.
Commitment to diversity, equity, and inclusion at every level of the University.
Certification by the Academy of Certified Archivists.
Familiarity with relevant standards, such as DCRM, AACR2, RDA, MARC, DublinCore, and LCSH.
Record of professional involvement and service in relevant organizations, including SAA, RBMS, ACRL, and/or ALA.
Anticipated Salary: $ 70,000-75,000
