The Stanford University Archivist is responsible for all aspects of the administration and development of the Stanford University Archives and its program for the collection, preservation, and use of materials pertaining to the history and heritage of Stanford University. Operating under a mandate from the Board of Trustees, the Archivist reports to the Director of Stanford Libraries’ Department of Special Collections.
The Stanford Libraries has broad capacity to support academic research and the use of information technologies and is exceptional in American higher education in its integration of digital and traditional library collections and services, computing services, and a university press in a single organization. The Libraries values innovation and entrepreneurship, often partnering with other institutions and companies to continually evolve its blend of services and projects in support of the needs of the University. The Stanford University Archives is an important segment of this dynamic organization.
At the direction of the Director of the Department of Special collections, formulate, direct, and administer the collection development policy and program for archival and manuscript collections pertaining to Stanford University and the Stanford family. Develop collections including acquisition, funding, processing, preservation, and management of material. 2. Manage institutional information for President’s Office, Provost’s Office, Board of Trustees, Office of Development, Planning Office, and Stanford Alumni Association under terms of reference provided by these offices. Provide data from the University Archives critical for policy decisions made by these offices. 3. Administer all public service related to access to and interpretation of the holdings of University Archives, including instruction, reference, web presence, exhibits, reproduction policies, and publications. Work with the Associate University Librarian and Director of Special Collections and the Associate University Librarian for Public Services to integrate the services of the University Archives with broader library service programs. 4. Directly and through collaboration with senior Stanford Libraries leaders as well as curators and other selectors: identify and cultivate donors with actual or potential interest in the Archives. Identify and cultivate key faculty and staff members for acquisition of papers. Identify and cultivate appropriate members of outside constituencies with connections to Stanford, coordinating external relationships with the Stanford Libraries leaders and specifically the Director of Communications and Development. 5. At the direction of the Director of the Department of Special collections, formulate, direct, and administer policy and program related to administrative records management, records transfer, and information retrieval; Insure preservation guidelines for holdings maintenance, collections storage, exhibit, handling and reformatting are upheld; and establish and administer policies on restrictions and access to records. Maintain regular contact with University administrators. 6. At the direction of the Director of the Department of Special collections, develop and conduct programs of digitization of appropriate holdings of the University Archives as permitted funding and access to relevant units of the Stanford Libraries. 7. Develop and maintain relationships with key University and University-related committees including service on Board of Governors of the Hanna House, Historic Values Index Group, Stanford Historical Society Board, and other committees as appropriate. 8. Coordinate and oversee the collection development, preservation, and management efforts of all archival programs on campus including the Lane Medical Archives, Stanford Linear Accelerator Archives, and Stanford Law School Library Archives. 9. Supervise University Archives staff and Stanford Historical Society staff including setting of priorities, scheduling, monitoring workflow, and staff development.
Education & Experience:
MLS or equivalent to ALA accredited degree in education and/or experience, with formal training in archival theory and practice, required.
MA or PhD in History or related field, desired.
Knowledge, Skills, and Abilities:
Knowledge of history of higher education, desired.
Knowledge of history of Stanford University, desired.
Ten years of professional experience and accomplishments with increasing responsibility in an academic or research archive or library, desired.
Experience in collection development in university setting, desired.
Experience in reference and instructional services, desired.
Demonstrated ability to work effectively with scholarly, donor, and alumni communities, required.
Experience in processing and cataloging of archival or manuscript materials, required.
Demonstrated knowledge of standard archival cataloging and authority control formats and practices, required.

Strong interpersonal skills. Particular ability to work with senior administrators in the university including president, provost, members of the board of trustees, director of alumni association, and senior development officers.
Ability to speak to large audiences, such as major university-wide donors, board of trustees, office of development staff, alumni, and similar groups, required.
Ability to work independently and collaboratively as appropriate.
